 User Account Termination Policy & Guidelines

The Department of Chemistry utilizes an "Exit Interview Form" as a formal procedure for capturing information about departing employees. The form is available from the Chemistry Administrative Office. All departing employees and graduate students are required to complete the Exit Interview Form before they leave the department.

Included on the Exit Interview Form is an interview visit with IT Shop personnel where we are given the opportunity to determine the departing user’s plans and whether he/she has any need for continued IT support (e-mail for example) from our department. If the departing user has no need for continued support, their departmental account will be terminated immediately. If the user does have a need for continued support then they will be given an opportunity to keep their account open for up to 3 months.

The account status, including the user's account termination date is noted on the Exit Interview Form which is kept and appropriately filed by the Chemistry Administrative Office staff.

Any request to maintain a user account beyond 3 months after a user's departure date requires sponsorship by an active faculty member or a department administrator and an Account Sponsorship Application form is required to be filed with the IT Shop. Sponsored accounts expire 6 months from the date of sponsorship unless they are renewed.

IT Shop staff conduct a periodic review of the propriety of our user accounts. These reviews usually coincide with the beginning of each new semester.
